What supporting documents will I need to provide when applying for a business visa?

When applying for a business visa, you’ll be asked to provide the following supporting documents during the application process:

You may need to provide
  • Your business visa application form.
  • Your passport or any other valid travel document. Don’t forget, this document will need to be valid for at least 3 months after you leave the territory of the Member States, or, in the case of multiple visits, after the final date of departure from the territory of the Member States. You’ll also need to show that your travel document has at least 1 blank page and that it’s been issued within the last 10 years.
  • Confirmation of your purpose for travelling.
  • A document confirming your accommodation in Germany.
  • Proof that you have the money to look after yourself for the whole of your stay, as well as for your return journey or onward journey to a third country. Or that you’ll gain the means lawfully, in accordance with Article 5(1)(c) and (3) of the Schengen Borders Code.
  • Proof that you plan to leave the territory of the Member States before your visa expires.
  • A return or round ticket that shows you plan to leave.
  • Confirmation that you can financially support yourself during your stay in Germany. 
  • A bank statement or pay slip to prove your employment.
  • Proof of real estate property. 
  • Travel medical insurance that covers any expenses that may occur should you need to travel back to your original country during your stay on the territory of the Members States, for medical reasons, urgent medical attention, emergency hospital treatment or death.

    Please note, that your insurance will need to be valid within the territory of the Member States and cover the whole period of your stay or transit. The minimum coverage will need to be EUR 30 000.
What other documents will I need to show when travelling for a business trip?
  • An invitation from an authority that requires you to attend meetings, conferences or events connected with trade, industry or work.

  • Documents that show the trade relations or relations for work.

  • Tickets for fairs and congresses, if appropriate.

  • Documents that show the business activities of the company.

  • Documents proving your employment status in the company.

  • A declaration of accuracy of the information you’ve provided.

  • Proof of civil status: Marriage certificate, birth certificate of children, death certificate of spouse, if applicable.

  • If you’re currently employed, payslips from the past 3 months.

  • If you’re self-employed, a certificate that shows proof of ownership (including of land title, proof of income from agriculture etc.).

  • Your company bank statements from the previous 3 months.

  • Any business references.

  • An invitation from a business partner in Germany in English or German. For consultancy services, you’ll be asked to provide a confirmation letter from the German client. It will need to mention the invitee’s details, the dates and reason for the trip, with a detailed day-to-day schedule of the business meetings or training.

  • A detailed schedule of your business meetings - remember, this is only required if you’re staying for over 30 days.

  • A company cover letter that includes the full travel plan. It will need to reference your position, the duration of your service, the dates and reason for the trip and whether the employer is covering your expenses or not.

  • Certificate of incorporation of the company.

It’s a good idea to make copies of each document, ready to supply at your application appointment. 

Don’t forget, that the embassy has the right to ask you to submit extra documents if they wish, so don’t worry if this request is made.
