What supporting documents will I need?

To apply for an Italian business visa, you’ll need a few different documents. As well as these, you have to show proof that you can support yourself during your trip. 

You’ll need: 

  • Your passport or travel document, with 2 blank pages for your visa. Make sure it’s been issued in the last 10 years and check it’ll be valid for at least 3 months after you return home.
  • 1 passport-size photograph, taken within the last 6 months.
  • A visa application form, filled in and signed with original signature.
  • Proof you have the financial means to cover your entire stay in Italy.
  • Proof of your accommodation in Italy for the whole stay. It could be hotel or hostel reservations, or an apartment rental agreement.
  • Private health insurance covering your entire trip to Italy.
  • Copy of the round trip/flight reservations and complete itinerary.
What documents will I need from my employer and host company?

You’ll need to show a couple of documents from your employer and host company in Italy, which include:

  • a letter confirming your employment conditions, work title, and responsibilities. This letter will summarise the purpose of your trip to Italy, as well as the names and addresses of any companies you’ll be visiting for work
  • the invitation letter from the Italian company. It needs to have the official corporate stamp and be signed by a legal representative of the inviting Italian company. This letter will detail the reasons for the business trip, dates of travel, and entry tickets for trade fairs.
Do I need to submit a Declaration of Presence?

If your business trip includes a stopover in another country of the Schengen Area, you’ll need to submit a declaration of presence when you get to Italy. This is a mandatory requirement and needs to be done at the competent police station within 8 days of entering Italy.

Please note: It’s important to get your declaration of presence to the competent Italian authority to make sure you won’t face any penalties.
